A Behind-The-Scenes Look Into What Happens On Wedding Day

Meet Mr. and Mrs. Devis! Vanessa and Louis are one of my couples who booked my Day-of-Coordination package, and it was a great fit for the type of wedding support they wanted. During my first meeting with Vanessa, I remember her thumbing through her three-ring wedding binder to reference her contracts, vendor communication, and inspiration photos. She was ON it. I knew that she would have her planning process under control until I needed to step in during the months before her big day.

 

Wedding Day

With Day-of-Coordination, clients can expect to receive support with their timelines and floor plans in the months leading up to the wedding, but a lot of the actual work happens on the day-of. On Vanessa and Louis’ wedding day, I arrived at their venue at 8:30 a.m. to begin an extensive set up for both their ceremony and reception spaces. It is a wedding coordinator’s dream come true when couples provide their décor with set up instructions, and Vanessa did just that.

Their colors were white, red, and black, and the overall theme tied in many aspects of their Mexican culture. Clay jarritos with red roses adorned each of the guest tables, making for super authentic centerpieces. An extra special DIY project was the handcrafted bar that Louis and some of his groomsmen built for the wedding itself. So much thought went into the many pieces of décor, and it was an honor to bring Vanessa and Louis’ vision to life that morning.

By the time the wedding party had arrived at the venue, my assistant and I prepped Vanessa and Louis for their first touch and private vow reading. After this, we had just enough time to squeeze in a quick ceremony rehearsal before guests began to arrive. During our final planning meetings, Vanessa let me know that she was expecting some of her guests to be arriving late. Knowing this, we adjusted her timeline so that guests would have plenty of time to settle into their seats before the processional began. Once it was time to head down the aisle, Vanessa linked arms with her dad before reuniting with Louis at the altar.

Behind the scenes, my assistant and I placed final touches in the cocktail hour and reception spaces. We welcomed final vendors as they arrived for set-up, and at the end of the ceremony, helped transition the wedding party to the photo location for final photos with the newlyweds. Vanessa had planned for an outfit change before the reception, so I helped her get into her intricately beaded party dress - which was to die for! After the bridesmaids’ and groomsmen’s entrance to the reception, she and Louis dazzled their guests with their grand entrance and went straight into their first dance.

The evening continued with dinner, dessert, and LOTS of dancing. The DJ kept guests on the dancefloor all night, but a definite fan favorite was the photobooth, provided by the bride and groom’s close friends. Throughout the night, my assistant and I managed the reception space and kept an eye on the clock to ensure that Vanessa and Louis would be able to enjoy their private dance and grand bubble exit on time. Last calls and final dances were on schedule and Vanessa and Louis took a few final snaps at the photobooth before making their way out.

This couple was radiating gratitude by the time they departed the venue. To have put so much time, effort, and thought into planning their wedding, they absolutely deserve a long and restful honeymoon to celebrate their life as newlyweds! I am so happy to have been involved with their day and to have supported their wedding vision coming to life. I’m wishing them many years of love and happiness. Cheers to Mr. and Mrs. Devis!
